Thank you for your interest in working for our company. We attach great importance to data protection and thus to the protection of your personal data, which we process within the scope of the application procedure. Your data (personal data) are always processed in accordance with statutory requirements (General Data Protection Regulation (GDPR), German Federal Data Protection Act (BDSG).
"Personal data" are all information that refers to an identified or identifiable person, such as the name, address and e-mail address. The processing of data refers to all forms of utilisation by us, such as the use, storage, erasure or forwarding of these data.
We need your data in order to decide whether to hire you or cooperate with you. This especially applies to data concerning your professional qualification as well as your knowledge and skills.
The purpose of this text is to inform you about the processing of your personal data and your rights pursuant to Art. 13 and 14 GDPR in connection with your application.

 1. Who Is Responsible for the Data Processing, and Whom Can I Contact? 

Our company is responsible for your application ("controller"). Further information and our contact details are provided at the bottom of all job ads. A list of the most important contact details is also provided in section 8.

 2. Which Personal Data Do We Collect from You? 

When you send us an application, we receive personal data from you and perhaps also from third parties.
This information includes, but is not limited to, your personal details, such as the following:

Contact details: e.g. name, telephone number, e-mail address, home address
Application data: e.g. curriculum vitae, letters of reference, cover letters, former jobs and positions with other organisations, education, professional qualifications, reference contact information, job preferences, willingness to move, salary expectations, interests and wishes
Sensitive information: e.g. gender, origin, religion, marital status, age, health data and degree of disability (if applicable)
Convictions and sanctions: e.g. convictions under criminal law, sanctions by supervisory authorities or professional organisations
Media information: e.g. information from publicly accessible sources, such as professional social media networks

All other information that you send us (in the course of your correspondence with us)
Moreover, personal data may arise from the documentation of an interview or from the evaluation documents prepared by us.
Under certain circumstances, we may also receive personal data concerning you from third parties, e.g.: 

  • Recruitment agencies engaged by us
  • Former employers who provide us with references
  • Universities/colleges


 
3. What Do We Process Your Data for (Purpose of the Processing), and on What Legal Basis? 

We collect and process your personal data for the following purposes:

     3.1. For the Performance of the Contractual Relationship (point (b) of Art. 6 (1) GDPR in conjunction
            with Section 26 (1) sentence 1 of the German Federal Data Protection Act (BDSG)) 

      • Especially for the application procedure
      • For the refund of travel expenses in connection with the application procedure

Should we conclude an employment contract or a cooperation agreement with you, your personal data (i.e. your name, address, telephone number, letters of reference etc.) may also be processed for the purpose of handling the employment relationship under consideration of statutory regulations. In this case, we will inform you again about the processing of your personal data in the context of the employment relationship. 

     3.2. Under Consideration of the Balancing of Interests (Point (f) of Art. 6 (1) GDPR) 

If processing is necessary for the purposes of the legitimate interests pursued by us or by a third party, except where such interests are overridden by your rights, we will process your data for the following purposes: 

      • Improvement of our recruitment processes and activities
      • Effective administration and operation of our company
      • To assert legal claims and for defence purposes in legal disputes
      • To ensure the IT security, IT operation, backups and data protection control 
      • Video surveillance to protect our domestic authority, to prevent criminal offences or to gather evidence in the event of a suspected criminal offence
      • Building security measures (e.g. access controls)

     
     3.3. On the Basis of Your Consent (Point (a) of Art. 6 (1) GDPR) 

If you have given us your consent to the processing of your personal data for one or more specific purposes, e.g. for the consideration of your application in future job postings. 

     3.4. If Processing Is Necessary for Compliance with a Legal Obligation (Point (c) of Art. 6 (1) GDPR) 

We may collect information on your work and residence permit pursuant to Section 39 of the German Residence Act (AufenthG) in conjunction with the German Employment Regulation (BeschV) and Section 404 (2) no. 5 of the German Social Code III (SGB III).

 4. Who Will Receive Your Data?

Internally, the employees in the HR department who are responsible for the application procedure as well the colleagues from the respective departments will have access to your data insofar as this is necessary for the hiring decision. 

     4.1. Transmission to Other Honda Companies 

We will also forward your documents to the HR departments of other Honda companies in case you give us your consent or indicate this in your application (e.g. by naming another Honda company in the application letter). 

     4.2. Transmission to Companies That Perform Services under Agreements 

Your personal data may be forwarded to companies that perform services on our behalf, such as 

      • processors engaged by us, e.g. web service providers or IT hosting companies
      • external legal consultants
      • recruitment agencies

     4.3. Transmission to Public Bodies 

Personal data will be forwarded to authorities and/or criminal prosecution authorities if this is required by law or if this is necessary to protect our legitimate interests in accordance with applicable laws. 

 5. Will the Data Be Transmitted to a Third Country or to an International Organisation?

The data will be transmitted to countries outside the EU/EEA (so-called third countries) 

  • if this is required by law
  • o process your application in our e-mail and office solution on Microsoft Corp. cloud servers outside the EEA by Honda Motor Group companies 
  • (also to other companies of the Honda Group) if this is necessary to pursue our legitimate interests
  • or if you have given us your consent for this.

In this context, the processing of your data in a third country may take place in connection with the engagement of service providers as processors. If no resolution of the EU Commission exists concerning an adequate data protection level in the respective country, we guarantee by means of suitable agreements pursuant to EU data protection regulations that your rights and freedoms will be protected and safeguarded. Detailed information is available on request. Information on suitable or adequate safeguards and on the possibility of receiving a copy of these can be requested from our Data Protection Officer.

 6. Data Storage

We will only store your personal data insofar as and as long as this is necessary for the purpose for which they were collected by us or provided by you. Therefore, we will store your personal data as follows: 

  1. For the duration of the application procedure 
  2. f your application is not successful, for as long as we need the data to clarify enquiries or disputes after the notice of rejection 
  3. If you have given your express consent that we should take your application into consideration in future job postings, your data may be stored for a longer period 
  4. If a statutory obligation exists to store the data for a longer period, for the duration of this statutory period. 
Once the storage purpose no longer applies or a statutory storage period expires, we will erase your personal data in accordance with the statutory regulations.
 
 7. What Are Your Rights with Respect to the Processing of Your Personal Data?

Pursuant to Art. 15 GDPR, you may obtain confirmation as to whether or not personal data concerning you are being processed.
Should the personal data processed by us by inaccurate or incomplete, you have the right to obtain their rectification pursuant to Art. 16 GDPR.
Under the conditions specified in Art. 17 and 18 GDPR, you have the right to obtain the erasure and restriction of processing of the personal data concerning you.
In case the processing of your personal data is based on your consent or you provided the data in the course of the conclusion of the contract, you shall have the right to data portability pursuant to Art. 20 GDPR. This means that you may receive the data in a structured, commonly used and machine-readable format and may request the transmission of these data to a third party if this is technically feasible and the processing takes place by automated means.
Pursuant to Art. 21 GDPR, you have the right to object to the processing of personal data concerning you in cases in which we refer to our legitimate interests to justify the processing.

In addition to the above-mentioned rights, you have the right to lodge a complaint with a supervisory authority. The Commissioner for Data Protection of the Federal State of Hesse is responsible for our company.

 9. Security of Your Data in the Online Application Procedure 

As the controller, we have taken appropriate technical and organisational measures according to statutory regulations to ensure comprehensive protection of your personal data. However, we cannot guarantee that the data will not be intercepted during transmission via the Internet.
For this reason, you may prefer to send us your application documents by regular mail.
